Post Office House

Thank you for choosing Post Office House Bed and Breakfast to make a reservation. Please read these terms and conditions carefully as you will be bound by them. A contract between you and Post Office House Bed and Breakfast will come into effect on the date you reserve a room with us.  We look forward to welcoming you to Post Office House Bed and Breakfast.

PRICES AND CURRENCY

Our rates are quoted ‘per room, per night’, and include breakfast, heating, hot water, electricity, internet connection (WiFi), parking and housekeeping. If booking online, your online booking form will show the total amount payable for your stay. If booking by telephone, the total amount payable will be agreed verbally and then confirmed by email. We charge all our rooms in GBP (£) and when booking online, you will be charged in this currency.  Please be aware that your bank may collect additional charges if this is not your native currency.

If you incur any supplements, they will be added to the total price of the reservation. All supplements purchased during your stay must be paid for in full on presentation of invoice.

Rates quoted are correct only for the specific number of guests and room nights on the dates shown. Should you change the number of guests, dates or room nights, then the rates are subject to change.

You must be able to enter into a legally binding contract and be over 18 years to make a booking.

BOOKINGS AND DEPOSIT PAYMENTS

To secure your reservation, you must provide card details that are valid at point of stay at Post Office House.  We do not require a deposit on two or more nights booked but please see our Cancellation policy, Amendments and Refunds section below.

Single-night stays: The total cost of your stay will be taken 14 days prior to your arrival day. If you cancel 14 days and under, the cost of the stay is non-refundable. If we are able to resell your room, we will refund the full amount, minus a £10 handling fee.

GROUP BOOKINGS

We regret but do not accept group bookings for all three rooms for one party (six guests together).  There is no communal lounge at Post Office House and soirees/get-togethers are strictly forbidden in each other’s rooms, together with the consumption of take-away food, hot or cold.  We wish to remind guests that Post Office House is not a self-catering establishment or holiday let.  If guests wish to eat or enjoy a few drinks together, there are also a wide variety of pubs, bistros, cafes and restaurants in the immediate area or there is our garden where guests are welcome to use our barbeque, relax with drinks and consume take-away meals.

WEDDINGS/STAG/HEN PARTIES

We do not accept bookings for guests attending weddings, stag/hen or similar large parties. This is due to the layout of our property and to ensure comfort, relaxation and consideration towards other guest(s) staying who are not part of the party/function concerned. If, on arrival, we discover that you have knowingly made a booking to attend any such event, then we reserve the right to cancel your reservation, with the full cost of the stay charged and will ask that alternative accommodation is found.

CANCELLATIONS, AMENDMENTS AND REFUNDS

To make a cancellation or any changes to your reservation, you must telephone 01668 219622 or email us.  Please note that any changes or cancellations are not accepted by text message or via social platforms (WhatsApp, Messenger).  We reserve the right to treat each case on its own merits, and may choose to vary the conditions set out in paragraphs below.

We strongly urge that you cover the cost of your reservation with holiday/travel insurance, should unforeseen circumstances affect your stay including Covid-19 restrictions.

  • Free cancellation – 21 days or more prior to arrival date.
  • Cancellation 14 to 20 days prior to arrival – Payment equal to the first nights’ stay.  This will be taken with the card details provided on reservation.
  • Cancellation 7 to 13 days prior to arrival – Payment equal to two nights’ stay.  This will be taken with the card details provided on reservation.
  • Any cancellations made less than 7 days or a no-show, then the total cost of the stay will be charged to the card details provided on reservation.
  • GROUP BOOKINGS:  A maximum of four people in a group booking.  The full cost of the stay is required on cancellations made under 28 days and is not refundable. If we are able to resell any cancelled rooms, you will be refunded any rooms resold to the lead guest/booker who made the original reservation, minus a transaction/administration fee of £10.00.

We strongly advise that travel insurance is taken out in the event of a cancellation.

Please give us as much notice as possible if you do need to cancel.  This would allow us the opportunity to try and resell any room(s).  If we do manage to resell any cancelled room(s), we will refund any resold rooms.  Any refund made will take account of any bank, credit or other charges that may have incurred in processing the transactions and in addition, an administration/transaction fee of £10.00 will apply.

CANCELLATION BY US

We reserve the right to cancel a booking in the event of any cause beyond our reasonable control which prevents us from meeting our obligations in connection with your booking. In such an event we will refund any payments you have made to us, in full. Our liability would not extend beyond this refund. Please note; We would only cancel your booking if your accommodation was unavailable for reasons beyond our control, and we would attempt to offer you alternative accommodation. If this was not possible, or acceptable to you, then we would refund all monies you have paid.

Please note: valid card details (debit/credit card) are required to secure all reservations. If card details are invalid or conflicting information with other booking details, then we will give you 12 hours in which to provide alternative card details otherwise the reservation will be cancelled.

ARRIVAL AND DEPARTURE

Our check-in times are between 4.00 pm (16:00)  to 6.00 pm (18:00). November to March 3 pm to 6 pm.  An estimated arrival time is helpful as you may also be our only `arriving’ guests on the day. It assists us so we can ensure we are here to greet you personally and check you into your room(s).  We are happy to hold any luggage prior to check-in if requested but please give us advance notice so one of us are on the premises to receive your luggage.

Please note that Post Office House Breakfast is not a hotel with staff and 24-hour reception facilities for late arrivals. Therefore we regret that requests for late check-ins outside of these hours are not permitted. Post Office House does not have self-check-in facilities where keys are accessible from a key box or safe place in order for guests to check-in at any time of the day. Requests for a late check-in and for keys to be left in `safe’ places will be refused.

We understand that unforeseen circumstances that are out of your control, such as road traffic/breakdowns, flight/public transport delays can affect your confirmed arrival time on your arrival date. If this is the case, then we kindly request that you let us know. Rooms must be vacated by 10.30 am so they can be prepared and are ready for the next guests.

PETS AND CHILDREN 

We cannot accommodate pets of any description (other than assistance dogs) and no persons under 18 years, we are an adult-only establishment.  We regret that we also cannot accommodate divers, our insurance policy does not cover damage or loss of diving equipment.

SMOKING/E-CIGARETTES

In accordance with UK Law, Post Office House Bed and Breakfast is designated entirely non-smoking. Smoking is permitted in the garden, where an ashtray is provided and you agree to dispose of smoking materials with consideration. No cigarette ends or used smoking materials are to be disposed of anywhere in your room or within the grounds. Failure to comply with these no-smoking conditions will incur a deep-cleaning cleaning charge.  E-cigarettes/vaping are also strictly prohibited inside the property.

CANDLES AND SIMILAR FIRE HAZARDS 

The use of candles, wax burners and similar items including incense sticks are strictly forbidden in the guest rooms. These post a serious fire hazard to both guests’ and ourselves and it is also a breach of our Public Liability Insurance. If bringing hair tongs/straighteners, please use the heat mats which are provided.  These must not be left unattended if switched on, left on beds or furniture. Guests must ensure that the appliances are switched off before leaving the room.

KEYS/SECURITY

On arrival, we entrust to you a set of keys during your stay with us.  We ask that your keys are looked after as if your own.  You agree not to copy these keys, nor allow them to be copied and remain the property of Post Office House Bed and Breakfast at all times.  Should they be lost or stolen, you must inform us immediately.  Post Office House cannot be held responsible for any loss or damage to guests’ belongings should any unauthorised person gain access because of lost or stolen keys.  We reserve the right to request your keys at any time.  We do not operate a self check-in system at Post Office House Bed and Breakfast, therefore keys are not left in `hidden’ places so guests to let themselves in.  We check in all guests into our home personally, discuss breakfast operations on arrival and show guests to their room(s).

On departure, you must return your keys to us.  Non-returned keys after departure will be treated as lost or stolen. If this is the case, then this will entail us having to change the locks.  We are within our rights to charge your credit/debit card, with costs of replacement keys and any necessary locks, at the prevailing rate.

It is the guests’ responsibility to ensure their rooms and the guest entrance door are locked when entering or leaving the premises in the interests of security.

FOOD IN ROOMS

Hot take-away food is strictly forbidden in our bedrooms. If there is evidence of hot food having been consumed in the rooms, then we will charge for any cleaning we may have to carry out resulting from any food stains/smells etc.  Take-away hot food is ONLY allowed in the garden where we have provided an allocated seating area, together with disposable plates and cutlery.

SPECIAL DIETS/ALLERGIES

Gluten-Free, dairy-free, coeliac and vegan diets can be accommodated and we ask that you please inform us on reservation in order to meet your exact requirements.  We also offer a separate bespoke menu specifically for vegans, at £5 per person, per day, so please give us advance notice.

Please note that we work in a domestic kitchen in which nuts, eggs, fish, wheat, gluten cereals and all other 10 allergen food stuffs are prepared and used. Whilst strict care is taken to avoid any cross-contamination, we cannot fully guarantee this.  This also applies to coeliacs; we cannot guarantee fully that there will be no cross-contamination with gluten products, although we will endeavour to ensure no cross contamination of any allergen containing product or ingredient.

NOISE/ANTI-SOCIAL BEHAVIOUR

Please respect others in the building by keeping noise to a minimum at all times including closing interior and exterior doors quietly and keeping the volume to a reasonable level on the televisions. We would appreciate that if guests return to their rooms late in the evening, to ensure that there is no excessive noise.

Guests and the owners of Post Office House have the right to feel safe and unthreatened. We will not tolerate noisy, unruly or drunken behaviour which may be considered dangerous to life or our property. We reserve the right to terminate your booking without prior notice or any refund , if you engage in such behaviour which, in our view, is unacceptable or which causes a disturbance or nuisance to other guests’ or ourselves.  This also includes the use of offensive language.

UNAUTHORISED GUESTS

By law, guests are not permitted to bring unauthorised visitors into your room without permission. It is a stipulation of our terms that the following is adhered to:

Any unauthorised, additional guest(s) that are found in any of our guest rooms; they will be asked to leave immediately and the occupancy of such will be charged to the guest who made the original reservation.  Please do not bring non-residents into Post Office House to show them your room, irrespective whether they are family members or friends who may be staying near by. We respectfully request that if you wish to show any non-residents your room, that you gain permission from us to do so. We also wish to remind guests that Post Office House is also a private home and would appreciate that guests respect this. From a security issue, bringing in any unauthorised persons without gaining our permission is a breach of your contract with us.

Our rooms are single and double occupancy only, there is no capacity for extra beds in any of our rooms. The beds in our twin bedroom are not zip-and-link, therefore cannot be put together.

DISABLED FACILITIES

Post Office House is a Grade II Listed property and regret that we are unable to accommodate wheelchairs or mobility scooters, due to the historic fabric of the building.  Our ground floor room is suitable for guests with walking difficulties.

PARKING

One car parking spot is available at Post Office House which must be booked in advance. There is ample free street parking directly outside our premises and parking in the Market Square opposite us within 30 metres. Guests using our private off-street car parking space do so at their own risk.  Post Office House Bed and Breakfast will not accept liability for any accidents, damage or loss incurred.

LIABILITY, LOSSES AND DAMAGES

We ask that you treat your accommodation at Post Office House Bed and Breakfast as you would your own home. Whilst we appreciate accidents can and do happen, you agree that you will pay for any damages, however caused, by you or any of your party. We request that any damages to fixtures, fittings, furnishings or spillages/accidents are brought to our immediate attention and we reserve the right to charge your credit/debit card for any damages incurred, including those found immediately after departure. We may choose not to charge for minor incidents, but we will charge for any replacement, repair or extra cleaning which we deem necessary resulting from any reckless, careless or inconsiderate use of the property and its contents, or of the items (including linens, towels and gowns) provided for your use. We also reserve the right to charge your card for the loss of any items from your room during your stay and/or any items which are found missing after your departure.

We may make an additional charge of £50 if you did not report an incident of damage to us in a timely manner.

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves. We will not be liable for failure to perform to the extent that the failure is caused by any factor beyond our reasonable control.
